For your personal safety, when entering an event, we may be required by the event organiser to obtain additional information from you in relation to your health and medical history (Medical Data). Additionally, to help monitor and increase diversity some events may ask for information about your racial or ethnic origin (Ethnicity Data), religious or philosophical beliefs (Religious Data) or sex life and sexual orientation (Sexual Orientation Data). This Medical, Ethnicity, Religious and Sexual Orientation information, which are special categories of personal data, will be obtained from you by your completion and submission of separate sections on the entry form where applicable and you will be asked specifically to consent to the processing by us of such Data (including the passing of such data to the Organisation holding the event).
Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you. In this case, we may have to cancel a service you have with us but we will notify you if this is the case at the time.
If you fail to provide the Medical Data that are requested by an Organisation in relation to a particular event, the Organisation may not permit you to be entered by us for that event. If this is the case, we will notify you of this at the time.
The provision of Ethnicity, Religious and Sexual Orientation Data will always be optional.

To use SiEntries you must provide full and accurate information for any event you enter or membership you apply for. In certain exceptional circumstances however it may be necessary to hide a vulnerable individual’s Identity Data from being published on any public entry or membership lists. If you or somebody you are entering has any safeguarding issues associated with publishing your Identity or Social Media Data on any such lists then please contact us at admin@sientries.co.uk to request we hide this data from these lists before entering.
In these circumstances we would also recommend that before entering you first talk to the event / membership organiser to ensure that they are aware of any issues and that their procedures will not affect your safe participation in the event or membership.
You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies. We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. We will pass on your Identity, Contact, Transaction and, where applicable, Medical, Ethnicity, Religious and Sexual Orientation Data, to the Organisation supplying the event or providing the purchased goods.
If you choose to register for JustGiving via SiEntries then your Identity and Contact Data may be passed to JustGiving as a part of the entries process.
If you choose to purchase refund protection then your Identity and Contact Data may be passed to XCover as a part of the entries process.
If you pay for a transaction by credit or debit card we pass your Identity, Contact and Financial details to one of our payment providers, either Global Payments, Stripe or Axcess Merchant Services, to process your card payment. If you choose to pay for a transaction by Direct Debit we will pass your Identity and Financial details to BACS to set up and process your Direct Debit instruction.
We will pass Identity, Transaction and Membership data onto SPORTident UK Ltd., Open Tracking Ltd. or any other third-party results service nominated by the Organisation to provide a results service on their behalf.

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

By law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.
We retain your Medical, Ethnicity, Religious and Sexual Orientation Data for 3 months following the event in respect of which it was provided.
Any data we are not required to hold for tax or other legal purposes will be held for no more than 3 years following the event or membership for which it was gathered, unless we have been specifically requested to retain it for longer by the organisation hosting the event / membership.

In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
